Using desktop work history around sensitive client work
Before recording client work, decide whether the material belongs in a personal work-history tool at all. Local storage is one part of that decision; client expectations, workplace rules and the information visible on screen also matter.
Start with the narrowest useful workflow you are permitted to use.
Check the applicable working arrangement
Review the client’s or employer’s requirements for local copies, screenshots and external AI processing. If the rules are unclear, resolve that uncertainty before recording sensitive material.
Do not assume that a tool is acceptable simply because it runs on your laptop. A screenshot can create another copy of information, and selected context sent to an optional provider is a separate processing step.
This is a practical configuration review, not a claim that one setup satisfies every legal or contractual requirement.
Prefer a clear, limited scope
If the task is finding approved project documents, a selected folder may be sufficient. Keep unrelated client material and credentials outside that scope.
CiteSilo indexes supported readable files from chosen folders. That can include some configuration formats, so do not assume the index automatically distinguishes ordinary text from secrets.
If screen capture is unnecessary for the workflow, do not enable it just because it is available.
Review capture and provider choices separately
Check excluded applications, title keywords, titles-only mode, pause state and retention. Window titles can still contain confidential text, even without images.
Then check the selected provider and automatic summary settings. Local mode supports search, source excerpts and counted reports without a cloud key. Optional cloud AI can receive selected context, including permitted sampled images in some workflows.
Meeting recording has separate controls and should receive its own review.
Test with non-sensitive material
Use a harmless project sample to see what appears in the history and search results. Check that exclusions behave as expected and that the result is useful enough to justify the setup.
A title keyword matches the title exposed by the application; it does not understand every confidentiality boundary. Pause before sensitive work when an exclusion rule is uncertain.
Recheck when the project introduces a new application or a different type of data.
Keep shared outputs narrow
Before sharing a summary, remove unrelated client names, private titles and excerpts that the recipient should not see. Verify claims against the original project records.
Your personal retrieval history and a client status update serve different purposes. The update should state relevant outcomes, open questions and next steps.
When work ends, review what still needs to be retained under the applicable arrangement. Archiving a project tag is not deletion of its recorded sources.
